Summary: The software doesn't fail. Projects fail because the wrong people make configuration decisions, and the right people are too busy to learn the system.

## Article

It's not the PMS, the channel manager, or the revenue management tool that just went live. [The real failure happens because the wrong people are in the room when the system gets configured, and the right people are too busy to learn it](https://hoteltechnologynews.com/2026/08/why-hospitality-tech-projects-fail-after-rollout-and-how-hotel-operators-should-lead-implementation/?utm_source=rss&#038, utm_medium=rss&#038, utm_campaign=why-hospitality-tech-projects-fail-after-rollout-and-how-hotel-operators-should-lead-implementation&#038, utm_source=rss&#038, utm_medium=rss&#038, utm_campaign=why-hospitality-tech-projects-fail-after-rollout-and-how-hotel-operators-should-lead-implementation).

This happens because most hotel teams delegate implementation to IT or the vendor while operations stays focused on running the property. The software gets configured without operational input on critical decisions: workflows, mandatory fields, legacy system integrations, field naming conventions. Then rollout happens and nobody understands why the system works that way, or who decided it in the first place.

The answer is straightforward. Hotels that nail implementation put the director of operations or the revenue manager at the center of the project, not at the edges. They need to be in configuration meetings. They need to explain how their operation actually runs. They need to validate that the system reflects real workflows. Then they lead their team's training, because nobody teaches a system better than the person who designed it from the inside. Vendors and integrators are necessary, but operational leadership is yours. Own it.
